The Venue Has an AV Team. Should You Use Them?
Sometimes yes. The thing that decides it is not who owns the gear, it is what the venue contract says about bringing anyone else in.

Your venue has an in-house AV team, and they are already quoting you. Sometimes that is the right call. What decides it is usually not the crew or the kit. It is a clause in the contract you have not read yet.
Start with the in-house case, because it is real. They know the room. They know which breaker feeds the stage, where the rigging points are, and how long the freight elevator takes on a Tuesday. Nothing has to be trucked in. The paperwork is one conversation instead of three. On a straightforward meeting in a hotel ballroom, that is often enough.
Now read the contract, and look for two things.
The first is exclusivity. Some venues require you to use their AV provider, and charge a fee if you bring in your own. That fee is the whole negotiation. Ask about it in your first call with the venue. It changes which vendors you can even talk to.
The second is what is not in the quote. In-house pricing tends to look reasonable at the top and then grow. Labour gets added. Equipment changes get added. Rigging gets added. Anything after the standard day gets added. None of that is dishonest, but very little of it is disclosed up front, and you will not see it until the invoice.
So the question to ask is not which one is cheaper. It is which one is complete. Ask both sides to quote the same show, with labour and rigging and overtime named as lines rather than assumptions, and the comparison becomes possible.
Outside crews earn their place on the events where the room is not the hard part. Multiple presenters. A stream going out live. A build with scenic. Anything where somebody has to be watching the whole show rather than a piece of it. If it goes wrong at eleven in the morning, you want the people fixing it to have chosen the equipment themselves.
One honest caution about going outside. Your crew still has to coordinate with the venue’s infrastructure, and that takes real time in the schedule. Load-in windows, power, house sound, who owns the mix. Get those agreed early and the day is quiet. Leave them until the week of, and you have handed yourself a second job.

Ten Questions Before You Sign With an AV Company
Most vendor questionnaires are long and tell you almost nothing. Four questions do most of the separating.

There is a version of the AV vendor questionnaire that runs to ten questions and separates no vendor from another, because a competent company answers all ten well. Four of them do the actual work.
The first is whether they own their equipment or rent it. Both answers can be fine. What you learn is where their money goes and what happens when something fails at nine in the morning. A company working from its own inventory has a spare in the truck. A company sub-renting has a phone call to make, and a warehouse that opens when it opens.
The second is who is running your show, by name, and who they answer to. Not the salesperson. The person standing at the tech table when the keynote starts. Ask what happens if a decision has to be made in the moment and the client contact is on stage. If there is no clear answer, that is the answer.
The third is the plan B question, and it is worth being specific. What happens if the internet drops in the middle of the stream. What happens if a presenter’s laptop will not hand off. What happens if a wireless channel goes noisy after doors. A company that has run enough shows will answer these flatly, because they have all happened to them. Vagueness here is inexperience wearing a nice suit.
The fourth is insurance and liability, which is boring right up until the day it is not. Ask for the certificate. Many venues will ask you for it anyway, and finding out in the final week that your vendor cannot produce one is a bad week.
Two questions people ask that tell you less than they think. Asking for a list of past events mostly tests whether a company has a marketing team. Asking whether the equipment is current gets a yes from every vendor you ask. If you want references, ask for one from an event that went wrong, and listen to how they describe their part in it.
The pattern underneath all four is the same. You are not buying gear. You are buying who is in the room when something breaks, and how quickly they stop it becoming your problem.

When a Tech Rehearsal Is Not Optional
Not every event needs one. The ones that do have a tell, and it is not the size of the room.

Not every event needs a tech rehearsal, and anyone who tells you otherwise is selling you a day. The tell is not how big the room is or how many people are coming. It is how many handoffs the show contains.
A handoff is any moment where control passes. A presenter swaps to another presenter. A slide deck gives way to a video. A remote speaker comes in over the stream. Someone walks on with a handheld while a lav is still live. Each one is a place the show can stall, and stalls are what an audience remembers.
One speaker, one deck, one room, no video? You will probably be fine with a line check and a walk of the stage. Four presenters, two video rolls and a panel that reconfigures the furniture halfway through? Rehearse it, or you will be rehearsing it in front of your audience.
What the rehearsal catches is unglamorous. A dead battery in a microphone. An HDMI cable that negotiates at the wrong resolution. A laptop that will not mirror. These are small problems, and they are small right up to the point where they happen at the top of a keynote and three hundred people are watching you solve them.
The other half is not about equipment. It is the speakers. Most executives have not stood on that stage, do not know where the confidence monitor is, and have not been told what the timing cues look like. Twenty minutes with them beforehand changes their delivery more than any amount of production value. People are calmer when they know the geometry of the room they are about to stand in.
It is also the only time the crew and the coordinators get to run the order together. The crew, the coordinator and the client each carry a version of the run of show in their head. The rehearsal is where you find out those versions differ.
And it is where plan B becomes real rather than theoretical. A second laptop already patched in. A spare handheld sitting on the tech table with a fresh battery. Camera framing and lighting levels set against the actual room instead of the drawing.
The short answer is that you rehearse the transitions. If the show has fewer than three, you can usually skip it. Past that, the rehearsal is cheaper than the alternative.

Why AV Gets Booked Before the Catering

On a lot of corporate events in San Francisco, AV gets locked before the catering, before the furniture and before the decor. That order surprises people. There is a structural reason for it, and it has nothing to do with vendors being pushy.
AV decides the shape of the room. Where the screen goes determines where the audience faces. Where the audience faces determines where the stage is. The stage determines where the cabling runs, which determines where you cannot put a table. Lock the floor plan first and you spend the rest of planning retrofitting sound and light into a layout that was drawn without them.
Do it the other way and the room gets designed once.
There is a practical reason too. In a city running conferences and product launches most weeks of the year, the experienced crews book up. Leave it late and your options narrow to whoever is free, which is a different question from whoever is right. That is a quiet risk, because a smaller inventory and a less specialised team will still say yes.
Anything custom needs the runway. A build, projection onto something that is not a screen, a set that has to be fabricated. Those need drawings, a site visit, and time to test before they are trusted in front of an audience. Booked early, they get all three. Booked late, the first full test is your event.
Venues are the other half of it. Bay Area rooms have strict load-in windows, limited access points, and their own rules about power. Some of those rules only surface once a technical contact reads the packet. Early booking means somebody is reading it in month two rather than the night before, when the answer arrives too late to change anything.
If you want one thing to take away, it is this. Booking AV early is less about availability than it looks. It is about giving the technical plan enough time to influence decisions that are cheap now and expensive later.

How Much Power Your Event Actually Needs
The number that matters is not total wattage. It is how many amps are on each circuit, and which circuits your gear is sharing.

Most power problems at events are not shortages. There is plenty of electricity in the building. The trouble is that too much of your equipment ended up on one circuit, and the breaker made the decision for you at the worst possible moment.
So the useful question is not how many watts your show draws. It is how many amps sit on each circuit, and what else is already on it.
Start by listing what draws power, because it is broader than people expect. Audio is the obvious one: microphones, the mixer, amplifiers and the speakers themselves. Video is the bigger appetite. Projectors, monitors, cameras, and LED walls, which pull noticeably more than a projector for the same picture. Then lighting, where LED fixtures have made a real difference to the total. Then anything decorative that plugs in. Haze, fog, anything that fires confetti.
Add it up, then add a buffer of twenty to thirty percent on top. That is not padding. Equipment gets added in the final week, someone brings a second monitor, and the number you calculated in month two was calculated against a different show.
Once you have a total, the venue conversation gets specific. How many circuits serve the stage area, and what is the amperage on each. Whether the room is single or three phase. Where the panel is, and whether anyone on site can open it. Whether the outlets near the stage sit on separate circuits or are separate faceplates on the same one, which is common and catches people out.
Outdoors, or in a room that was not built for this, you are into generators. That is a different plan, with its own noise, fuel and placement questions, and it needs deciding early rather than discovered late.
The last piece is grounding, which rarely comes up and should. Bad grounding gives you a hum in the PA that no amount of mixing will fix, and in the worst case it is a safety problem rather than an audio one.
The short answer is that power is a plan, not a number. Get the circuit map from the venue while you still have time to move things around on it.

What Goes Wrong With Wireless Mics
Wireless buys you mobility and hands you a radio problem. Both halves are worth understanding before you specify a room full of them.

Ask a room of event planners what they are afraid of and you will hear a version of the same thing. A microphone dying in the middle of a keynote. It is a reasonable fear, and wireless is where it usually comes from.
Take the case for wireless first, because it is strong. A speaker who can walk is a better speaker. Panels reconfigure without anyone crawling under a riser. The stage stays clean, which matters for the cameras and matters more for the people walking across it in the dark. You can put a handheld in one hand, a lavalier on a lapel and a headset on the person who needs both hands, and none of it changes the floor plan.
What you have bought along with that is a radio problem.
Every wireless channel is a frequency, and frequencies have neighbours. Other microphones. In-ear systems. The venue’s own equipment. Whatever is happening in the building next door. In a dense environment, coordinating those channels is real work, and skipping it is how you get a burst of static in the middle of a sentence.
Then batteries, which is the failure people picture. Manageable, but only with a habit around it. Fresh cells for every show rather than every day, and a spare handheld sitting on the tech table already switched on.
Then range. Every system has a limit, and past it you get dropouts. The limit is rarely the number in the manual, because bodies and structure and metal all take their share.
Wired still wins on pure reliability. Sound quality between the two is close enough that the argument is mostly academic, but a cable does not need a frequency plan or a battery.
So the useful way to specify a room is by what has to move. Presenters who work the stage get wireless. A fixed lectern does not need it. A panel of five seated people can often run wired lavaliers into the table and remove five radio channels from your day.
The composure part is not the equipment. It is having decided in advance who swaps the battery, and where the spare is.

Setting Up a Panel So the Back Row Can See
A panel discussion fails at the back of the room first, and it usually fails visually before it fails on audio.

Panels have quietly become the centre of most conferences, and they are harder to stage than a single keynote. The failure shows up at the back of the room, and it tends to be visual before it is audible.
The problem is geometry. One speaker at a lectern gives you one place to look. Four people in chairs give you four, plus a screen, and an audience that has to keep choosing. If the screen is badly placed, or the faces are too small at distance, attention drifts to phones and does not come back.
Start with sightlines rather than kit. Sit in the last row before you decide anything. If a person on the far end of the panel is blocked by a plant, a column or another panellist, no amount of screen resolution fixes it. Move the chairs.
Then decide what the screen is doing. Slides behind a panel are often a mistake, because they compete with the people. If there is data to show, one large display placed where the audience can hold both in view works better than two flanking screens that split the room’s attention. If there is no data, consider putting the panellists on the screen instead, so the back half of the room can read a face.
Size the display for the furthest seat, not the room. That calculation is the one most often done by eye, and eyes are optimistic.
Lighting does more here than people credit. A panel lit only by the room’s overheads reads flat, and on camera it reads worse. Light the faces from the front, keep the screen out of the wash, and the whole thing looks considered rather than assembled.
If the format changes partway through, which it often does, plan the transition. Chairs moved, a presenter standing up to speak, a remote guest joining. Those moments need a rehearsal more than the panel itself does.
Underneath it, the same rule as everything else. Someone has to be watching the whole room during the show, not one screen. That is a person, not a product.

Why the Room Fights Your Sound System
Good speakers in the wrong positions sound worse than modest speakers in the right ones. The room is the other half of the system.

You can put an excellent sound system into a room and still have people in the third row unable to follow a sentence. The equipment was fine. The room was doing something to it that went unaccounted for.
Sound leaves a speaker as a wave and then meets the building. Hard surfaces bounce it back, which is where echo and feedback come from. Soft surfaces absorb it, which is why a carpeted room with drapes behaves nothing like the same room stripped for a trade show. A space with a hundred people standing in it sounds different again, because bodies absorb sound too.
Most placement mistakes come from a handful of causes.
Speakers set too close together interfere with each other. Where the two waves arrive slightly out of step they cancel, and you get patches of the room where the sound is thin for reasons that seem to make no sense.
Loading one side of the room is the next. It happens when placement follows the power or the truss rather than the audience, and the result is one half hearing clearly while the other strains.
Subwoofers get placed wherever there is space, which is how you end up with a corner of the room where the bass piles up and a middle where it disappears.
And every speaker has a dispersion pattern, a shape it throws sound into. Aiming one at the back wall instead of the seats is a common way to fill a room with reflections rather than speech.
The correction for all of it is the same, and it is unglamorous. Walk the room with the system on. Stand in the back corners, under the balcony, beside the bar. Those are the seats that go untested and get sat in.
Do that before doors rather than during the first session, and you get to move a speaker rather than apologise for one. That is the whole difference between a room that sounds fine and a room people notice.

Live Captions, and Who They Are Really For
Most people reading your captions are not deaf. Once you know who is actually using them, the decision gets easier.

Live captioning gets filed under compliance, which is how it ends up as a line item somebody tries to cut. The more useful framing is that most of the people reading your captions can hear perfectly well.
The formal version is Communication Access Realtime Translation, and it does what the name says. Speech becomes text on a screen while the person is still talking.
Its first audience is the one you would expect. Attendees who are deaf or hard of hearing, for whom captions are the difference between attending and following. Under the Americans with Disabilities Act that is an access obligation, not a nice extra.
The second audience is much larger and rarely counted. Anyone whose first language is not English, who can read a technical term far more reliably than they can catch it spoken in an accent at pace. Anyone in a noisy overflow area or standing at the back near a bar. Anyone who looked at their phone for a moment and lost the thread of a sentence. On a conference floor that is a meaningful share of the room.
There is a practical benefit for you too. Captions produce a text record of what was said on your stage, which is useful afterwards in ways a video file is not.
If budget is the constraint, there are choices rather than a single price. Caption the sessions where comprehension matters most rather than the whole programme. Some services add live translation, worth it for an international audience and wasted otherwise. Remote captioners avoid the travel and setup that an on-site position needs. And some venues already have the display infrastructure, which removes a chunk of the work before you start.
The mistake worth avoiding is treating it as a screen problem. Captions are only as good as the audio feed reaching them, so the caption source has to be planned with the sound, not bolted on beside it afterwards.
Decide it early, and it costs you a conversation. Decide it in the final week, and it costs you a scramble.

Running a Multi-Camera Stream Without a Second Crew
Two or three cameras is not twice the work of one, if the decisions that make it hard are taken before the day.

Adding a second camera to a live stream sounds like it doubles the crew. It does not, if the awkward decisions get made in advance. Most of what makes a multi-camera stream difficult is settled before anyone arrives.
Start with the venue rather than the equipment. Walk it and note three things. The lighting, because cameras are far less forgiving than eyes. The power, because you now have positions that need it in places the room was not wired for. And the network, because a stream is only as reliable as the connection carrying it, and venue wifi is shared with every attendee holding a phone.
Then camera placement, which is mostly about coverage rather than art. A wide shot that holds the whole stage and stays put. A tighter shot on whoever is speaking. A third, if you have it, for the audience or a detail like a demo table. Between them you can cut a whole show without anyone repositioning under pressure.
The detail that separates a stream that looks professional from one that does not is consistency between cameras. Matched white balance and matched exposure. Cut from a warm wide to a cool close-up and the audience sees the cut, even if they could not tell you why it bothered them. This takes ten minutes before doors and cannot be fixed afterwards.
Everything runs into a switcher, which is where one person does the work of several. Cabling matters more than it sounds. Over short runs the cheap option is fine, but past a certain distance you want the connector built for it, or you get intermittent dropouts that resist tracing.
Test the whole chain to the actual platform before the audience exists. Not the cameras, not the encoder, the whole path end to end. Streams rarely fail at the camera. They fail at a handoff between two things that were each tested alone.
Done that way, two or three cameras needs one operator paying attention, not a second crew.
